Define the local-copy boundary
Temporary downloads should end when the authorized task ends, subject to records duties, holds and recovery requirements. Removing a file from one folder is not proof that synced copies, backups, email attachments or storage media were sanitized.
An authorized employee downloads one named file for a time-limited Windows task, records its source and owner, protects only the approved retained copy and keeps Microsoft 365 permissions authoritative for collaboration.
Run the diagnostic sequence
- 01
Confirm the task is complete and identify the authoritative record.
- 02
Check retention, legal hold and incident requirements.
- 03
Inventory working, temp, synced and removable copies.
- 04
Use approved deletion or media-sanitization procedures.
- 05
Record completion and unresolved backup or device dependencies.
Preserve decision evidence
Record local-copy ID, task close date, retention basis, hold check, locations, deletion method, media action, operator and verification.
Stop when
- No authoritative record remains.
- A legal hold or retention duty is unresolved.
- Ordinary deletion is described as guaranteed sanitization.
Keep controls separate
Local encryption does not administer Teams or SharePoint permissions, restore Microsoft 365 versions, guarantee backup, recover unknown passwords or replace enterprise identity management.
Common questions
Does revoking a SharePoint link erase a download?
No. Provider permission changes do not automatically remove a previously downloaded local copy.
Does password reset guarantee access to an old locker?
Do not assume so. Test and document product-specific recovery using non-sensitive files.
