Define the local-copy boundary
Microsoft 365 downloads may land in the browser download folder, a chosen save location, an Outlook cache, a Teams-related path or a synced SharePoint directory. Find the real copy before deciding it is protected or removed.
An authorized employee downloads one named file for a time-limited Windows task, records its source and owner, protects only the approved retained copy and keeps Microsoft 365 permissions authoritative for collaboration.
Run the diagnostic sequence
- 01
Identify the application and exact download action.
- 02
Check the browser download history and configured folder.
- 03
Distinguish a browser download from a synced library copy.
- 04
Search by verified filename, size and modified time.
- 05
Record every discovered local and removable-storage copy.
Preserve decision evidence
Record application, action, filename, size, time, Windows profile, full path, sync status, removable copies and verification method.
Stop when
- Search results are being deleted before ownership is verified.
- A synced folder is mistaken for a standalone download.
- The only copy is being moved during investigation.
Keep controls separate
Local encryption does not administer Teams or SharePoint permissions, restore Microsoft 365 versions, guarantee backup, recover unknown passwords or replace enterprise identity management.
Common questions
Does revoking a SharePoint link erase a download?
No. Provider permission changes do not automatically remove a previously downloaded local copy.
Does password reset guarantee access to an old locker?
Do not assume so. Test and document product-specific recovery using non-sensitive files.
