Define the local-copy boundary
Local Office edits can diverge from the Teams or SharePoint source. Before upload or archive, compare file identity, modified time, author, tracked changes and business meaning; never resolve a conflict by silently overwriting the authoritative service copy.
An authorized employee downloads one named file for a time-limited Windows task, records its source and owner, protects only the approved retained copy and keeps Microsoft 365 permissions authoritative for collaboration.
Run the diagnostic sequence
- 01
Freeze both source and local candidates without overwriting either.
- 02
Record name, size, hash, modified time and author context.
- 03
Compare content and tracked changes with an authorized reviewer.
- 04
Choose merge, new version, discard or archive explicitly.
- 05
Upload only through the approved Microsoft 365 route.
Preserve decision evidence
Record source version, local version, hashes, reviewers, material differences, decision, resulting provider version and retained local copy.
Stop when
- The authoritative version cannot be identified.
- A conflict is resolved by filename alone.
- Local edits contain unreviewed sensitive or external content.
Keep controls separate
Local encryption does not administer Teams or SharePoint permissions, restore Microsoft 365 versions, guarantee backup, recover unknown passwords or replace enterprise identity management.
Common questions
Does revoking a SharePoint link erase a download?
No. Provider permission changes do not automatically remove a previously downloaded local copy.
Does password reset guarantee access to an old locker?
Do not assume so. Test and document product-specific recovery using non-sensitive files.
