Define the local-copy boundary
Revoking a SharePoint link, removing a Teams member or changing library permissions governs the service. It does not reach backward into a document already downloaded to an authorized or unauthorized Windows device.
An authorized employee downloads one named file for a time-limited Windows task, records its source and owner, protects only the approved retained copy and keeps Microsoft 365 permissions authoritative for collaboration.
Run the diagnostic sequence
- 01
Confirm the current provider permission and file owner.
- 02
Identify every known downloaded or exported copy.
- 03
Use provider controls for ongoing collaboration.
- 04
Use local protection only for an approved retained copy.
- 05
Document withdrawal requests and evidence of local disposition.
Preserve decision evidence
Record provider permission, change time, known local holders, withdrawal instruction, confirmation, exceptions and escalation owner.
Stop when
- Encryption is presented as a substitute for provider authorization.
- A revoked link is assumed to erase downloaded copies.
- The recipient or device cannot be verified.
Keep controls separate
Local encryption does not administer Teams or SharePoint permissions, restore Microsoft 365 versions, guarantee backup, recover unknown passwords or replace enterprise identity management.
Common questions
Does revoking a SharePoint link erase a download?
No. Provider permission changes do not automatically remove a previously downloaded local copy.
Does password reset guarantee access to an old locker?
Do not assume so. Test and document product-specific recovery using non-sensitive files.
